List billing enables you to generate a single renewal notice to a Bill To third party (such as a company) that is responsible for paying the fees for multiple customers. The multiple customers and their respective line items would all be listed on the single renewal notice mailed to the Bill To ID.
To generate list bills with iMIS, set up a list billing cycle and establish the Bill To ID.
Depending on the nature of the list billing, Bill To ID criteria can be established at one of four possible levels:
■ Set up all line items to be billed to the parent company on the Set up customer types window
■ Set up all line items of an individual customer to be billed to a specified third party Bill To ID on the Financial tab
■ Set up the Bill To ID for specific line items selected on the Dues/Subscription Item Detail window
■ Set up the Bill To ID for specific line items on the Bill to Information window
There is no preferred method for list billing. You should determine your specifications on preferred business practices for your organization.
Note: You can process list payments using the Enter and edit payments window in Service Central.
To set Bill To using the Set up customer types window
This is the most automated method. When a company should be billed for the customer dues products of all individuals or branch customers of a particular customer type, select the Bill Company checkbox on the Set up customer types window.
1. From Customers, select Set up module > Customer types to open the Set up customer types window.
2. Create a customer type and select Bill Company. (See Customer types window).
3. Click Save.
To set Bill To using the Financial tab
When all line items for a customer will be billed to a Bill To ID, set the Bill To ID on the individual's Financial tab.
1. From Customers, select Manage customers to open the Manage customers window.
2. Find the customer's record.
3. Select the Financial tab.
4. In the Bill To ID field, enter the ID of the company or individual to be billed for this individual's billings or select the lookup icon on the Bill To ID field to select a value.
5. Click Save.
To set Bill To using the Dues/Subscriptions Item Detail window
If only certain line items for an individual will be billed to a third party (which may not be the same as the linked company ID), identify the third party on the individual's Dues/Subscription Item Detail window. For example, a customer may have bought a journal or subscription through an agency rather than through the customer's company.
1. From Customers, select Manage customers to open the Manage customers window.
2. Find a customer's record.
3. Select the Billing tab.
4. Select the line item that will be billed to a third party.
5. Click New on the Billing tab to open the Dues/Subscription Item Detail window.
6. Click New and Save.
Note: To print a list bill, select a list bill renewal notice for the billing cycle.
